Privacy Notice

The Lions Club of Tropical Gardens (LCTG), a non-profit service club, is committed to being a responsible custodian of the information you provide to us and the information we collect in the course of operating our service projects.

 

This privacy notice (Notice) sets out how LCTG as a data controller may collect, use, and share information in relation to the provision of their services, and describes: 

  • The types of information, including personal information, we may collect.

  • How we may use and share the information we collect.

  • The legal grounds for using personal information. 

  • The measures we have in place to protect and safely store the information we collect. 

  • Retention of the information we collect. 

  • How we make decisions about you.

  • Your choices and rights in respect of the information we hold.

Types of Information

"Personal Information" is any information that can be used to identify you or that we can link to you as an individual upon the request for assistance from us. 

Some of the personal information will come directly from you, for example when you provide your details for a Charity Mammogram, Diabetic Products or Screening, or General Assistance.  It can also come from third parties including your Medical Practitioner (not to include medical records) or travel agent.  We might also collect personal information from publicly available sources. 

We may also collect, store, and use the following “special categories” of more sensitive personal information, including: 

  • Data concerning physical health or disabilities; or

  • Family History.

 

The types of personal information that we collect will differ depending on the product or service we are providing to you. The personal information we collect may include: 

  • Full name, previous name, date of birth, gender.

  • Contact details including postal and physical address, email address, landline, and mobile telephone numbers.

  • We may also collect information that you voluntarily provide to us, including when you communicate with us via email, phone, on social media or other channels, and when you respond to our communications or requests for information.

Information we collect or generate about you

  • We may manually record and keep track of discussions you have with us, including face-to-face meetings, and may collect photos or videos of you.

Information we may collect from third party sources:

 

We may receive information about you from other sources, including third parties that help us prevent or process charity requests. We may also receive information that you have asked us to collect for you.

 

How we use the information we collect

We may use the information we collect:

  • to manage our relationship with you, respond to your requests and enquiries

  • to inform you of important changes, developments, or promotions.

 

Grounds for using your personal information

We rely on the following legal grounds to process your personal information, namely:

  • Necessity for performance of a contract – We may need to collect and use your personal information supply you with charitable services such as the award of a Charity Mammogram Voucher, Ultrasound, Optical, Diabetic, Hunger Relief, or General Assistance that you may request from us.

  • Legal obligation – We may process your personal information as may be required to comply with any legal requirement to granting assistance to you.

  • With your consent - We may use personal information as described in this Notice subject to your consent.  To withdraw your consent, you can contact us via bcawareness@gmail.com or presidentlctg@gmail.com  or via any Board member of The Lions Club of Tropical Gardens email.

 

Retention of the information we collect                

We retain the information we collect for no longer than is reasonably necessary to fulfil the purposes for which we collect the information and to comply with our legal obligations. The Lions Club of Tropical Gardens will retain your records for 5 years. All data will be shredded once the period of retention ends. 

 

Your Choices and Rights

Under local law, you may have rights regarding your personal information that we have collected. Customers have the right to request (i) access to your personal information, (ii) rectification or erasure of personal information is held in the strictest of confidence. Your ability to exercise these rights will depend on a number of factors and, in some instances, we will not be able to comply with your request, for example, where the request made is outside of the information we hold on you. If you would like to discuss or exercise the rights you may have, you can contact us through the methods stated below.

Changes to this Privacy Notice

We may update this Notice from time to time and we encourage you to review this Notice.

If we make any material changes to this Notice regarding the way we collect, use, and/or share the personal information that you have provided and we hold your email or other contact information, we will notify you by email or other communication.
